- Arrangement note
- Stock books and miscellaneous stock records are followed by inventory cards and purchase slips. The arrangement of the stock volumes varies: some are categorized by type of art (e.g., American folk art), others are in alphabetical order by name of artist, and yet others are keyed to the storage location of the objects. Inventory cards are mostly organized by type of artwork and arranged by stock number. Purchase slips for each year are arranged alphabetically by name of seller.
- Collection Rights
- The Downtown Gallery records are owned by the Archives of American Art, Smithsonian Institution. Rights as possessed by the donor have been dedicated to public use for research, study, and scholarship. The collection is subject to all copyright laws. Prior to publishing information regarding sales transactions, researchers are responsible for obtaining written permission from both artist and purchaser involved. If it cannot be established after a reasonable search whether an artist or purchaser is living, it can be assumed that the information may be published sixty years after the date of sale.
- Scope and Contents note
- This subseries contains stock books and miscellaneous stock records, seven file boxes of inventory cards, and purchase slips. Purchase slips consist of Downtown Gallery forms summarizing information about items purchased by the gallery, some with sales receipts attached. Stock books that were not filmed but which can be found in this subseries include: Miscellaneous Expenses, 1929-1931 (1 vol.); and Receipts and Disbursements, Feb. 1931-April 1932, Jan. 1935-May 1938 (1 vol.).
